Creating Calendar (Basic Setup)

STEP 1: Log in to your Vintory CRM account

Switch to an Account

(Drop down menu on the upper left corner of the screen)

  • Choose an account where you want to create the calendar.

STEP 2: SETTINGS

(On the bottom part of the Dashboard go to Settings)

STEP 3: CALENDARS

(Go to Calendars Tab)

STEP 4: NEW CALENDAR

(Go to ‘New Calendar’ under Unassigned. Calendar that’s under the Unassigned column are calendars that were created but have not been used yet.)

 

STEP 5: TEAM & EVENT SETUP

(Fill in the necessary information in the Teams & Event Setup.)

Calendar Name

Add Description

Appointment Title

Meeting Location (Zoom Link, Custom Value with Zoom link)

Link to Calendar (Shows the calendars linked to your Vintory 2.0 Account.)

Google Calendar (Pick a Calendar)

Sync

  • ONE WAY (All events from Google calendar will be shown as grey. It will not add whoever is invited to the Google event to Vintory 2.0 but will still sync the Appointments from Vintory 2.0 to the Google calendar and block the timeslot pulled from Google.)
  • TWO WAY (All events from google calendar will be colored and will talk to each other. Vintory 2.0 will find who is invited to the Google event, create a contact record for them, and fire off any triggers associated with the calendar.)
  • DISABLE TRIGGER (All Google Calendar event contacts will be pulled into HighLevel as new contacts, but no triggers associated with the Vintory 2.0 calendar will fire.)

Save & Continue

STEP 6: AVAILABILITY

(Go to the next tab which is AVAILABILITY and set up the Appointment Slot Settings.)

Slot Duration (Duration of the meeting)

Slot Interval (The duration of the interval before the next available appointment slot.)

Buffer Duration Between Appointment (after meeting break time or the time for you to reset before your next meeting.)

Appointments Per Slot/User (Can a user handle multiple appointments in the same time slot? If not you probably want to keep this as one.)

Appointment Per day (Set a number of calls/appointments per day regardless of the times that are being booked.)

Minimum Scheduling Notice (Number of hours notice before appointments can be booked.)

Date Range (Shows available schedule for the range you set.)

Office hours (Set the hours per day and you can apply all to make it easier to set for the rest of the week. You can also add multiple hours per day.)

STEP 7: CONFIRMATION

(FORM SETTINGS)

CUSTOM FORM (By default when you go through a booking widget it’s going to ask you for your name, email, and phone but maybe you wanted to ask for more information. You could create a custom form in Form Builder and then assign it to this calendar. You can activate sticky contacts for that form unless that form already has sticky contacts turned on. You can also toggle on to use a stripe payment and set an amount, the currency, and a charge description so that people have to put in their credit card in order to make an appointment on this calendar.)

 

NOTIFICATION & ADDITIONAL OPTIONS

 

LET THE CALENDAR AUTO CONFIRM MY APPOINTMENT

(Any appointments made in this calendar will automatically become confirmed as a status.)

(If there is a Google Calendar or another third-party calendar connected, instead of holding the appointment inside Vintory 2.0 until it’s marked as confirmed, it will automatically be pushed into your calendar.)

 

THE NEW APPOINTMENT ALERT EMAILS

(Anytime you get an appointment request you will get an email when that appointment request comes from your website or anyone who books off the calendar widget that you can send out.)

 

SEND APPOINTMENT ALERT EMAILS TO ASSIGNED TEAM MEMBER

(Can save you a step of creating triggers to notify somebody when an appointment gets booked with them. It’s a default email that goes out informing about the booked appointment.)

 

ALLOW GOOGLE CALENDAR TO SEND INVITATIONS OR UPDATE EMAILS TO ATTENDEES

 

Facebook Pixel ID

(Can trigger conversions when the calendar is loaded. That’s the Page View. Or when it’s submitted which is the booked.)

 

FORMS SUBMISSION

(Controls what happens after somebody submits a booking. Do I want to redirect them to a URL or do I just want to display a message here.)
